CALL INTAKE VIRTUAL ASSISTANT
- Handle and route calls.
- Input data into job management system (e.g. DASH).
- Assign calls to Lead Techs and Project Managers
- Provide job source updates.
COORDINATOR VIRTUAL ASSISTANT
- Main point of contact for the job.
- Manages documentation and compliance.
- Updates systems notes and compliance (DASH, MICA. etc.).
- Bridges production and estimator, sometimes acting as an estimator.
ESTIMATOR VIRTUAL ASSISTANT
- Specializes in mitigation, contents, and basic reconstruction of estimates.
- Transforms production team data into Xactimate, Simbility, and/or similar.
- Maximizes and ensures compliance with insurance carrier guidelines for all estimates.
ACCOUNTS RECEIVABLE (AR) VIRTUAL ASSISTANT
- Manages outstanding receivables (i.e. Quickbooks)
- Follows up with customers for payments.
- Processes received payments in the accounting system, occasionally combined with an AP role.
ACCOUNTS PAYABLE (AP) VIRTUAL ASSISTANT
- Inputting vendor bills and monitoring oustanding payables (i.e. QuickBooks)
- Pursuing internal cusotmer approvals and verifying payment accuracy.
- Generating payments in the account system.
- Forecasting weekly business cash flow.
PAYROLL/HR ADMINISTRATOR VIRTUAL ASSISTANT
- Oversees HR functions, encompassing onboarding, offboarding, compliance, and training.
- Manages payroll through a provider and the accounting system.
- Occasionally combines responsibilities with AR/AP to fulfill the Bookkeeper role.
MARKETING ADMIN VIRTUAL ASSISTANT
- Administers daily CRM audits (Luxor).
- Oversees social media platforms.
- Compiles weekly sales performance reports.
- Tracks and reports commissions and referral amounts.
SYSTEMS & COMPLIANCE VIRTUAL ASSISTANT
- Generates and resolves system reports for production and business development.
- Enforces company compliance and requirements for lead sources, third-party administrators, and customers (e.g. COIs, W9s).
- Occasional combination with General /Executive Admin roles.
GENERAL/EXECUTIVE ADMIN VIRTUAL ASSISTANT
- Manages email, schedules appointments handles calendar, and arranges travel.
- Supports you and key staff to maintain focus on business growth, handling essential but non-value-adding tasks.
